Privacy Policy

When you fill out the form at /start, we ask for: your name and email (required), how you heard about us, your destination and travel dates (required), how many days you want in each place, where you are flying in and out of, whether you have already booked flights or hotels, who is traveling including ages and relationships (required), any dietary needs or restrictions, mobility needs, what your group is interested in, your preferred pace, how adventurous you want to be with food, your budget, and, optionally, some free-text answers about past trips and what would make this one great.

The form also has a hidden field that only automated bots fill in. If it is filled in, we discard the submission without sending it or storing anything from it.

We do not have a database. Submitting the form sends two emails through Resend, our email delivery provider: one to our own inbox at hello@japantripcraft.com containing everything you entered, and one to the email address you gave us, confirming we received it. From that point, your submission exists as an email in our inbox, the same as any email you send us directly. Resend handles the delivery of that message; how they process data in transit is covered by Resend’s own privacy policy.

If you sign up for the free guide on the homepage, your email address is sent to MailerLite, our email newsletter provider, and stored there as a subscriber record so we can send you the guide and, unless you unsubscribe, occasional related emails. This is different from the intake form: it is an ongoing subscriber record with MailerLite rather than a one-time message in our inbox. Every email includes an unsubscribe link, and unsubscribing removes you from that list.

We do. And the curator or curators assigned to your itinerary see the relevant trip details from your submission, because they need them to review and correct the AI-drafted plan for your trip. As described on our homepage, an AI writes the first draft of your itinerary from your answers, and a local curator who lives in the region you are visiting checks it and corrects it before it comes back to you.

We do not sell your information, and we do not share it with anyone beyond what is described on this page.

The dietary field can include health-related information, for example an allergy or a medical dietary requirement. Because of that, if you fill in this field the form asks you to separately check a box confirming you are willing to share it with the curator in Japan who will use it to build your itinerary. That box is unchecked by default, and the form will not submit until you check it.

We only use this information to shape your itinerary and to make sure your curator plans around it. We do not use it for anything else.

The “who is traveling” field can include the ages of children traveling with you. This form is meant to be filled out by an adult arranging the trip, not by a child. We use ages only to plan a day that works for everyone in your group, for example pacing and activity choices.

An intake submission, the emails in our inbox from the form at /start, is deleted twelve months after your trip is delivered. If you get in touch but do not end up booking, we delete your submission six months after our last contact with you.

If you sign up for the free guide, your MailerLite subscriber record is kept until you unsubscribe, which you can do at any time using the link in every email we send.

You can ask us to access the information we hold about you, correct it, delete it, or send you a copy of it. This covers both an intake submission and a MailerLite subscriber record.

To do any of this, email hello@japantripcraft.com. That is the address we use for every privacy request, including deletion.

We give every visitor the rights described above, wherever you are. We do not limit access, correction, deletion, or portability requests to visitors in any particular country.
